Position Summary

Reporting to the Manager, Office & Facilities Services, the Receptionist in Edmonton provides superior customer service by serving as the first point of contact for all visitors at APEGA's Edmonton office.  Contributing to the efficient and professional management of APEGA, this position directs or re-directs callers and visitors to ensure prompt, courteous, and accurate service, maintains security documents and protocols, and provides general office administration support.

Responsibilities

  • Providing general reception duties for the Edmonton office to issuer visitors and members are promptly attended to by welcoming, directing, re-directing, and/or announcing callers and visitors.
  • Providing exceptional professional first contact customer service, respond to internal or external inquires.
  • Providing frontline support to members requiring customer service with requests such as: mailing address updates, password resets, and as necessary redirect queries to the appropriate department for more complex or specific support including the basics of navigating myAPEGA.
  • Ensuring office security process and procedures are followed in the reception area to ensure the safety and security of the area and staff.
  • Having visitors check in with reception, locking front doors end of each day, making sure lost access cards have been canceled and reissued.
  • Providing administrative support to the organization including processing of incoming and outgoing mail, voicemails, faxes, couriers, notifying staff of arrived packages, clerical support for Office Services (e.g. create, organize, and maintain various types of documents, reports & logs, gather and analyze statistical information, order and maintain office supplies, name tags, name plates).
  • Collaborating with IT/TELUS, manage the phone system auto-attendant & hunt groups (submit service requests; test vendor solutions; record auto-attendant/hunt group greetings and voicemail).

  • Experience with Cisco Telephony Systems, Microsoft Office product suite (Excel, Outlook, Word) and Staff Photo Security ID Badges (Photoshop).
  • Knowledge of Alemba, Aptify and various mail and courier websites.
  • Excellent organizational and time-management skills.
  • Ability to problem-solve and make sound decisions, based on internal policies and procedures and best practice required.

Qualifications

  • Post-secondary diploma in a related field with 2-3 years of administrative experience in a professional setting.
  • Experience working with Microsoft Office is required.
  • Exposure to various databases or systems is considered an asset.
  • Strong communication and language skills is required.
  • This position keeps a full-time in office schedule.
